WelcomeMat is a private app for a single neighbourhood. Your information is used to run your community and for nothing else. This policy explains what we collect, who can see it, and the control you have over it.

Who we are

WelcomeMat ("we", "us") operates the WelcomeMat mobile application and the website getwelcomemat.com. Questions about this policy go to info@getwelcomemat.com.

What we collect

Information you give us. Your name, email address, phone number if you choose to add one, and the address of your household. Your address is how the app confirms you live in the community, so it is required.

Information you create. Posts, replies, profile details, club memberships, and any content you submit in the app.

Information created by using the app. Sign-in records, the time and type of actions you take in the app, and basic device and error information needed to keep the app working. We do not use third-party analytics or advertising trackers.

We do not collect precise location from your device. Your community is determined by the address you claim, not by GPS.

How we use it

• To verify that you live at your address and place you in the right community
• To run the community: showing your posts to neighbours, listing you in the resident directory if you choose, and letting your community's director reach you
• To sign you in. We send a one-time code to your email; we do not store a password
• To keep the app safe, including reviewing content that has been flagged
• To respond when you contact us

We do not sell your information. We do not use it for advertising. We do not share it with vendors listed in the app.

Who can see your information

Your neighbours. Residents of your community can see your name, your posts and replies, and, if you have chosen to be listed, your directory entry. Residents of other communities cannot see anything about you.

Your community's director and their staff. Each community is run by a licensed director who acts as its administrator. To do that work, the director may access member information for their community, including household and contact details, and may review and moderate content. A director may appoint staff to help run the community; those staff have the same access to your community's information as the director, and the director is responsible for how they use it. The director's contact email is shown to residents so you can reach them.

WelcomeMat. WelcomeMat personnel may access community information to provide support, ensure the app is being used as intended, and cover a community while a new director is appointed. This access is logged.

Service providers. We use a small number of companies to run the app: a database and authentication provider that stores your information, an email delivery service that sends your sign-in codes, and the app stores that distribute the app. They process information only on our instructions.

Legal requirements. We will disclose information if required by law or to protect the safety of a resident or community.

Your choices

Directory listing. You can switch off your resident directory listing at any time in the app. When you do, other residents cannot look you up.

Editing your information. You can update your profile in the app.

Deleting your account. You can delete your account from within the app. Deletion removes your profile and unlinks you from your household. Posts you made may remain visible to the community in an anonymised form, and records we are required to keep for safety or legal reasons are retained for a limited period.

How long we keep it

We keep your information for as long as you have an account. After deletion, we remove or anonymise personal information within 30 days, except where a longer period is required by law or to resolve a safety matter.

Security

Your information is stored with access controls that limit each person to the community and role they belong to, enforced at the database rather than only in the app. Sign-in uses one-time codes sent to your email. No method of storage is perfectly secure, and we will notify you if a breach affects your information.

Age

WelcomeMat is for adults. You must be 18 or older to create an account. We do not knowingly collect information from anyone under 18; if you believe we have, contact us and we will remove it.

Where your information is stored

Your information is stored in the United States. If you use the app from elsewhere, you are consenting to that transfer.

Changes to this policy

If we make a material change, we will tell you in the app before it takes effect. The effective date at the top of this page will always reflect the current version.
